Job Description

Position Title: Processor Assistant

Reports to: Branch Partner 

Department: Sales Support & Training / Branch

Location: Branch Remote

Position Type: Full-Time; 40 hours per week 

Supervises: None 

FLSA Classification / Type: Non-Exempt / Administrative

Pay Range: $20.00 - $30.00 per hour + incentives

POSITION SUMMARY

The Processor Assistant position plays an integral role in the mortgage origination loan process within ALCOVA Mortgage. This position is responsible for reviewing and validating all information presented by the Loan Officer for set up of new files. The Processor Assistant works closely with the Loan officer to ensure loan applications are thoroughly completed and adhere to Company, investor, and industry established standards. The Processor Assistant must have excellent interpersonal skills and be driven with the desire to ensure every application is handled with excellent care and attention.

DUTIES AND RESPONSIBILITIES

  1. Responsible for assisting with administrative duties related to client relationships and identifying client service and sales needs
  2. Assist with the coordination and follow-up with clients to ensure superior customer service
  3. Review loan application to determine the completeness of all documents and verify the borrower’s qualification for specified loan product
  4. Work with escrow to obtain all items necessary for disclosure (e.g. estimated HUD, preliminary title report, closing protection letter and wire instructions)
  5. Order all third-party reports including, but not limited to: Tax Transcripts, Preliminary Title Reports, Payoffs, Employment Verifications, Homeowner’s information (HOI), and Appraisals 
  6. Coordinate sending of disclosures, ordering appraisal, and running of credit
  7. Package and submit complete files to operations through the Company’s loan origination software program
  8. Upon receipt of loan approval, works with Loan Officers, Loan Coordinators, and Escrow Officers to clear all “prior to doc” conditions and funding conditions
  9. Arrange signing for borrowers with Escrow Officers
  10. Work closely with Loan Officers, Funders, and Escrow Officers to clear funding conditions
  11. Organize filing systems, answer phones, photocopies documents, and prepares correspondence and documents as needed
  12. Prepare marketing materials and may coordinate meetings, conferences, and presentations
  13. May be responsible for the preparation of specialized reports and documents
  14. Maintain mortgage loan information confidentiality
  15. Escalate any suspected fraudulent files to Compliance Team

EDUCATION, EXPERIENCE, LICENSURE, AND COMPETENCIES

  1. High school diploma or equivalent education is required
  2. Knowledge of Encompass software is strongly preferred 
  3. National Mortgage Licensing &Registry (NMLS) registration preferred, but not required
  4. Ability to adapt to changing environments, situations, and job responsibilities
  5. Ability to prioritize complex diversified responsibilities and multi-task in a fast-paced environment
  6. Must be willing to assist teammates and build strong relationships with Loan Officers and Operations team members to achieve closing goals
  7. Self-starter, self-reliant, highly motivated, ambitious, dependable, and driven to succeed
  8. Technologically savvy and comfortable learning new computer systems and programs
  9. Ability to operate under immense pressure and manage stress well
  10. Must be trustworthy, honest, and able to continuously display a high level of integrity

  16. Able to access, input, retrieve, and interpret information using applicable computer systems (including, but not limited to, Microsoft Word, Excel, Outlook, industry-specific computer software, etc.)
  17. Well-versed with keyboard shortcuts and able to identify new ways to complete a task in less time
  18. Rely on limited experience and judgment to plan and accomplish goals
  19. Works well under general supervision
  20. Able to handle deadlines and working within banking guidelines
  21. Compliance with all Bank Secrecy Act (BSA), Anti-Money Laundering (AML) laws, and Office of Foreign Asset Controls (OFAC) requirements is required. Employees must complete annual training in these areas.

WORK ENVIRONMENT

This job operates in a clerical, climate-controlled office setting with adequate lighting and low to moderate noise. In this role, the individual regularly uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. 

PHYSICAL DEMANDS

This is largely a sedentary role; however, some filing and photocopying is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary. 

TRAVEL

This position requires up to 10% domestic travel, primarily consisting of day or short trips to local branch offices and/or Corporate, regional meetings, or occasional off-site training seminars, which may require overnight stays. Must hold a valid U.S. driver's license and have reliable personal transportation, with all work-related mileage and expenses reimbursed by the Company. 

EXPECTED HOURS OF WORK

Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m. Evening and weekend work may be required as job duties demand.
