Job Description

Provides operational support across the talent acquisition lifecycle, with a focus on interview coordination, offer acceptance processes, and pre-boarding execution. Ensures a seamless candidate and hiring manager experience by coordinating logistics, managing communications, and executing standardized processes in alignment with defined procedures and compliance requirements. Works on pre- and post-offer operational tasks, applies established guidelines to complete assignments and resolve routine issues, while escalating more complex situations as needed.

Essential Functions

  • Provides day-to-day administrative support to the Recruiting team.
  • Coordinates and manages the scheduling of all interviews, whether conducted by phone, Teams, or face-to-face. This includes interview scheduling, aligning availability across candidates, hiring managers, and interview teams.
  • Manages candidate travel and coordination, including booking and itinerary communication.
  • Processes candidate expense reimbursement, ensuring accuracy and timely submission.
  • Sends offer acceptance communications to candidates, including confirmation and next steps.
  • Sends offer acceptance communications to hiring managers, confirming acceptance and outlining next steps.
  • Coordinates relocation logistics for candidates, ensuring alignment with policy and timelines, partnering with vendors and internal stakeholders as needed.
  • Manages background check process in accordance with standard procedures, including tracking and follow-up, escalating discrepancies for review, and managing all communications with candidates and hiring managers
  • Launches pre-boarding activities, including compliance-related questions and required documentation.
  • Completes new hire setup in HR systems, ensuring data accuracy.
  • Executes pre-start termination process when required, following established procedures.
  • Provides support to the recruiters sourcing, creating email/text campaigns, conducting phone screens and backup in recruiters' absence.
  • Conducts tours for candidates when needed.
  • Reconciles invoicing and the recruiting credit card.

Education

  • Bachelor's Degree in Business Administration, Human Resources, or related field required
  • Bachelor's degree may be substituted with related experience, or an equivalent combination of education and related experience.

Work Experience

  • 1 year of related experience in recruiting coordination, HR operations, or administrative support preferred
  • 1 year of experience in HRIS, and other HR systems preferred
  • Ability to follow defined processes and procedures with strong attention to detail.
  • Ability to manage and prioritize multiple tasks of routine to moderate complexity.
  • Builds effective working relationships with internal stakeholders and candidates.
  • Excellent verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Aptitude for problem-solving and applying knowledge of employment-related laws and regulations.
  • Proficient with HRIS and other HR systems.
  • Proficient with Microsoft Office Suite or related software.

Physical Exertion Details

The typical base pay range for this role is between $58,100 - $66,500. Compensation may vary based on individual job-related knowledge, skills, expertise, and experience. This position is eligible for a discretionary annual incentive program driven by organization and individual performance.
