Job Description

Overview

The Department of OB/GYN at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking an outstanding Medical Receptionist to join the team.

This position greets incoming patients/visitors, answers incoming telephone calls, retrieves messages from office voicemail, retrieves/sends office documents via fax machine, scans patients’ data into the electronic health record (EHR), performs appointment check in/out procedures, verifies patients’ insurance and referrals requirements, and schedules office and specialty appointments. Maintains patients’ confidentiality at all times.

Responsibilities

  • Opens/closes the office: Retrieves messages from office voicemail, pages providers as required for messages, retrieves/sends office documents via fax machine, scans patients’ data into the EHR, retrieves/distributes incoming and outgoing mail, and send patients’ appointment reminders.
  • Greets incoming patients/visitors and arrives patients’ appointments in the EHR in a courteous/timely manner.
  • Checks-in/out patients, obtains referrals as appropriate, distributes/collects new patient packages to/from patients and caregivers, and schedules office and specialist appointments as required.
  • Registers/edits existing and new patients’ demographics, verifies patients’ insurance eligibility/copays requirements, posts payments into practice management database (EHR), and collects patients’ copays and send financial documents to the Medical Group
  • Completes/maintains Front Desk task lists in the EHR and assists with daily/monthly reports as directed.
  • Input data into the EHR: All documents must be sorted into categories, prioritized, scanned into the EHR and then electronically filed into patients’ chart
  • Accountable for maintaining/completing the Referral and Diagnostic/Imaging task lists in the EHR. Maintains audit lists/complies to payers’ audit requests for medical records. Coordinates/completes audit requests in a timely manner where EVMS providers render services.
  • Releases medical records as appropriate: Verifies requests for medical records have a release of authorization form completed/signed, complies with established protocols and systems to dispense medical records, completes medical records release log, and faxes appropriate information to requesting entity or print/download appropriate information from chart.
  • Verifies the order has everything needed to process. This includes, but is not limited to:
    • Proper diagnosis codes.
    • Clear request of why patient needs to be seen.
    • Completed office notes from that visit.
  • Ensures all referrals are completed when the notes from the specialists or outside providers are received.
  • Accept and sign for court subpoenas, monitor required date medical records are due for court and/or if a “quash for motion” is in effect.
  • Verify Insurance eligibility to specialist if required by patient’s insurance.
  • Fax medical records electronically to the specialist from the EHR following the electric referral process.
  • Electronically send patient information to medical office for them to contact the patient to schedule. the appointment in and outside of area or provide patient with a list of specialists and their contact number(s).
  • All other duties as assigned related to front office and administrative duties.
  • Gives directions to patients and visitors.
  • Maintains order in reception room.

Minimum Qualifications and Skills:

  • Excellent written and verbal communication skills required.
  • Must be highly organized with outstanding customer service-oriented attitude and have the ability to adapt and work under pressure.

Preferred Qualifications:

  • Prior experience working in a medical office setting highly desired but not required.
