Job Description

Position Summary
Ella SA Contracting is seeking a Project Coordinator/APM to support the planning and execution of underground utility construction projects, including water, sewer, storm drainage, and related infrastructure. This role works closely with the Project Manager, Superintendent, and Foreman to coordinate field operations, maintain project documentation, and ensure projects are completed safely, on schedule, within budget, and in compliance with quality and regulatory standards.
Key Responsibilities:
Project Planning
  • Assists in breaking down plans into actionable tasks; helps coordinate daily and weekly work plans with field teams.
Budget Management
  • Tracks field costs, updates spreadsheets, manages PO logs, and supports invoice reconciliation
Scheduling & Time Management
  • Supports 3-week look-ahead in collaboration with foreman and superintendent, reviews daily crew activities with Superintendent and Foreman
Resource Allocation
  • Coordinates equipment needs, assists with crew logistics, execute and coordinate material orders and on time site delivery
Field Operations Coordination
  • Works directly with Foreman and Superintendent on daily needs, material runs, and delivery coordination. Helps ensure activities are planned ahead.
Utility Coordination & Permitting
  • Creates and maintains 811 dig tickets; tracks permit expirations and renewals, inspections, and utility locates
Quality Assurance
  • Tracks inspections, maintains as-builts, logs test results, and ensures documentation is complete
Safety Oversight
  • Promotes daily safety practices in the field, helps identify hazards, and communicates issues to leadership
Risk Management
  • Tracks field issues (utility conflicts, access problems), assist in the development of RFIs, maintains logs, and escalates concerns
Subcontractor Management
  • Assists with coordinating subcontractor schedules, site access, and daily activities
Documentation & As-Builts
  • Maintains as-built drawings, submittals, daily reports, and project records
Material Management 
  • Reconciles material order against executed POs versus on-site material and maintains a running count, delivery coordination, inventory tracking, and misc. material runs
Progress Tracking & Reporting
  • Tracks daily production (footage, installs), updates reports, and communicates progress
Administrative Support       
  • Schedules meetings, prepares minutes, updates logs, and manages communication flow

Qualifications
  • Bachelor’s degree in Construction Management, Civil Engineering, or related field (or equivalent experience)
  • Strong organizational and multitasking abilities
  • Effective communication skills for both office and field coordination
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Willingness to work in both office and outdoor job site environments

Preferred Skills
  • Basic knowledge of underground utility construction (water, sewer, storm, telecom)
  • Familiarity with excavation safety practices and trenching standards
  • Experience with project management or scheduling software (e.g., MS Project, Primavera)
  • Understanding of blueprints, utility plans, and as-built drawings
