Join our Team! Leland Management is seeking a receptionist for one of our communities in the Winter Haven, FL area. Position Summary

The Community Association Receptionist is responsible for providing professional and courteous front office support to residents, guests, vendors, and Board Members. This position serves as the first point of contact for the Association and helps ensure efficient daily office operations while delivering excellent customer service.

Essential Duties and Responsibilities

  • Greet residents, guests, vendors, and visitors in a friendly and professional manner 
  • Answer incoming phone calls and direct calls appropriately 
  • Respond to resident inquiries and assist with general community information 
  • Receive and distribute mail, packages, and office correspondence 
  • Assist residents with access cards, gate passes, guest passes, amenity information, and forms as needed      
  • Maintain office files, records, and databases accurately 
  • Process ticket sales, guest passes, and other community transactions 
  • Schedule appointments, meetings, and clubhouse reservations 
  • Assist the Community Association Manager (CAM) and Assistant CAM with administrative tasks and projects 
  • Prepare flyers, notices, and community communications as directed 
  • Monitor office supplies and place orders as needed 
  • Maintain confidentiality of resident and Association information 
  • Help ensure the front office and reception area remain organized and professional
  • Work with Special events on event flyers, tickets, signup sheets, table seating etc.
  • Maintain and stay current with all activities throughout the clubhouse keeping the Assistant CAM up to date for Newsletter.
  • Perform other duties as assigned by management 

Qualifications

  • High school diploma or equivalent required 
  • Previous receptionist, administrative, or customer service experience preferred 
  • Strong communication and interpersonal skills 
  • Professional appearance and demeanor 
  • Ability to multitask and work in a fast-paced environment 
  • Basic accounting and cash-handling experience preferred 
  • Proficiency in Microsoft Office, email, and general office equipment 
  • Strong organizational and time management skills 
  • Ability to work independently and as part of a team

Physical Requirements

  • Ability to sit, stand, and walk for extended periods 
  • Ability to lift up to 25 pounds occasionally 
  • Ability to operate office equipment including computers, printers, and phones 
  • Ability to learn new equipment used in the Association – Music, speakers, Audio video

Work Environment

This position operates in a professional office environment within a residential community association setting and involves frequent interaction with residents, guests, vendors, and Board Members.

Schedule

Typical office hours are Monday through Friday, 8:30AM – 5PM with possible evenings, weekends, or community event assistance if needed.
