Job Description

Job Overview:

The Project Coordinator Intern is an integral position within our Controls Division that collaborates and supports our Controls Division management and engineers within Controls.  This role will be responsible for performing the job duties administrative support and customer service.

Job Functions:

  • Entry of new Bill of Materials and sales orders into Microsoft Dynamics 365
  • Releasing orders to warehouse according to project schedules
  • Keep engineers informed on part status
    • Sending out packing list
    • Creating backorder reports that confirm delivery date throughout procurement process (at beginning, middle and 1-2 weeks out from delivery)
    • Track vendor orders, shipments to insure receiving of products.
  • Complete purchase requisition tasks in Microsoft Dynamics 365 for each vendor purchase
  • Process review and improvements
  • Creating of reports in PowerBI, PDF, and excel
  • Create agendas and work with Controls management around meeting content.
  • Schedule and document meeting minutes
  • Document action items and follow up with owners on progress
  • Track department goals and update management on progress
  • Assist picking and packing warehouse on occasion when they behind
  • Coordinate travel for engineers
  • Print off project financial report and perform cursory analysis and compare to project management checkbook
  • Participate in monthly PFR reviews
  • Planning and execution of business unit team building events
  • Perform additional assignments, as directed

Travel Requirements

  • There is no travel in this position.

Qualifications:

  • Associates or Bachelor’s Degree is a plus but not required
  • Experience in MS Office software suite or working with ERP systems
  • Good organization and communication skills.
  • Ability to apply analytical and interpretive skills to problem solving
  • Energetic, ambitious and hard working
  • Strong interpersonal and communication skills
  • Strong demonstrated sense of customer service
  • Anticipate problems and drive risk reduction
  • Change agent and desire to enhance standard processes
  • Intermediate to advanced computer literacy, including experience in excel processing, spreadsheets . A working knowledge of Microsoft D365 a plus.
  • Ability to work well with others under deadline situations and respond to changes in priorities
  • Must be eligible to work in the USA long term without sponsorship.
  • Employees must follow all information security policies, protect confidential data, complete required training, and report any suspected security incidents to support our information security controls.
