Call Center Coordinator - Primarily works out of the Mission Valley location. Must be open to performing Patient Coordinator shift coverage very occasionally across the San Diego locations, as needed.  Weekend flexibility desired.

Summary

Responsible for serving as the first point of contact for patients. Will guide patients through the process from initial greeting and addressing questions to scheduling and processing payments following treatment. Will also maintain records and accounts while adhering to all federal, state, and local laws. Will occasionally perform Patient Coordinator duties, as needed throughout all San Diego SDBotox locations to ensure front desk coverage needs are met.

Key Responsibilities

• Serve as the first point of contact for all patients via phone and email. Answer questions and concerns, schedule appointments, and process all necessary deposits. Notify locations of any service delays and escalate situations to direct manager, as appropriate. 
• Ensure that appointments are correctly booked with all necessary deposits and information. 
• Confirm upcoming appointments for all patients scheduled the next day in assigned location(s) via text, call, and/or email. Ensure patients are informed of any pre- and post-care requirements. Perform required follow-ups for all patients within assigned location(s). 
• Maintain patient accounts by obtaining, recording, and updating personal and financial information. Adhere to all policies, procedures, and federal, state and local laws to ensure protection of patients' personal and financial information. 
• Perform Patient Coordinator duties in your own and other SDBotox locations in the San Diego area, as needed. 
• Perform other administrative duties and/or support projects, as assigned. 

Minimum Requirements

• High school diploma or equivalent

Experience: 1-2 years of experience in a professional setting

• Exceptional customer service skills
• Strong written and oral communication skills
• Strong time management and organization skills
• Ability to quickly triage and escalate, as needed
• Ability and comfort in utilizing computers and software programs
• Ability to effectively multitask while maintaining a strong attention-to-detail
• Ability to comfortably pivot in tasks as the company needs fluctuate
• Ability to reliably commute to different SDBotox locations in San Diego

Preferred Qualifications

• Previous experience in a medical spa or medical office

Compensation Information

• $18-$22/hr
• 12% commission for all skincare product sales
