How You Will Make an Impact:

  • Review the Event Worksheet in advance to be fully familiar with the event setup, timeline, food & beverage details, and assigned staff
  • Confirm event logistics with the onsite building contact as needed
  • Verify necessary supplies, food items, and service materials are staged and ready ahead of the event start
  • Conduct a Pre-Event Briefing with staff to review the event schedule, guest expectations, and any specific responsibilities
  • Lead staff in setting up food stations, buffets, bars, or table service areas according to the Event Worksheet and site standards
  • Ensure smooth flow of service, maintaining professionalism and efficiency
  • Act as the point of contact for the client throughout the event, addressing needs or concerns as they arise
  • Monitor alcohol service and ensure proper documentation on the Alcohol Consumption Report
  • Track staff time and confirm any extensions with appropriate managerial approval, noting who authorized the change
  • Lead staff in post-event cleaning, including:
    • Clearing and disposing of food, trash, and service items
    • Staging rentals per venue contact instructions
    • Wiping down work areas, sweeping floors, and restoring the space to its original layout
  • Complete a final venue inspection to ensure all equipment and materials are accounted for and the space is left in excellent condition
  • File all paperwork (Event Worksheet, Event Report, Alcohol Consumption Report) according to company procedures

The Catering Coordinator is responsible for executing events for a specific account. They lead the event from start to finish by managing event staff, assisting the client, ensuring setup and service align with expectations, and completing pre- and post-event documentation. As the primary onsite lead, this role sets the tone for the event and fosters a supportive and professional atmosphere among the team.
