POSTION SUMMARY

The Customer Service and Administrative Assistant provides administrative and customer support for the WDO (termite) Support department. This position is accountable for maintaining accurate records, coordinating communication with customers and field staff, supporting scheduling activities, and assisting with office operations. The position requires strong organizational skills, attention to detail, professionalism, and the ability to prioritize work effectively. 

JOB DESCRIPTION

Essential Job Duties

  • Provide professional customer service in person, by phone, and by email. 
  • Respond to customer inquiries regarding inspections, treatments, appointments, and related services. 
  • Accurately enter, update, and verify customer information, including names, addresses, service details, and scheduling information. 
  • Maintain organized electronic and paper records related to inspections, treatments, invoices, permits, and customer communications. 
  • Prepare routine correspondence, forms, reports, and service-related documentation. 
  • Coordinate appointments and follow-up communication with customers and field personnel. 
  • Support department operations through data entry, filing, scheduling, and other clerical duties. 
  • Assist with service preparation activities at customer locations when needed. 

Other Duties

  • Work collaboratively with team members and provide support to other departments as business needs require. 
  • Participate in company meetings, required training, and assigned learning activities. 
  • Follow company safety policies, procedures, and applicable OSHA requirements. 
  • Perform other job-related duties as assigned consistent with the responsibilities of the position.  

Work Schedule and Attendance Expectations

  • Regular attendance and punctuality are required. 
  • Occasional overtime or weekend work may be required based on business needs. 

Work Environment

  • This position primarily works in an office environment with occasional local travel to customer locations. 
  • The work environment may include moderate office noise and regular use of computers, telephones, and standard office equipment. 

Physical Requirements

The physical requirements described below are representative of those that an employee must be able to perform, with or without reasonable accommodation, to successfully perform the essential functions of this position. 

  • Ability to sit for extended periods while performing computer and telephone work. 
  • Ability to use a computer keyboard and view a computer monitor for extended periods. 
  • Ability to occasionally stand, walk, bend, reach, climb stairs, and stoop. 
  • Ability to occasionally lift and carry items weighing up to 20 pounds.

Requirements

Required Qualifications

  • High school diploma, GED, or equivalent experience. 
  • At least one year of experience in customer service, administrative support, clerical, scheduling, or office coordination role. 
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook. 
  • Valid driver’s license and reliable transportation. Local travel is required for business purposes. 
  • Strong written and verbal communication skills. 
  • Strong organizational skills and attention to detail. 
  • Ability to manage multiple tasks and maintain accuracy in a fast-paced environment. 
  • Ability to maintain confidentiality and handle sensitive information appropriately. 
  • Ability to work independently and collaboratively as part of a team. 

Preferred Qualifications

  • Experience in the termite, pest control, construction, home services, or related industry. 
  • Experience working in a call center or high-volume customer service environment. 
  • Bilingual English and Spanish communication skills. 
  • Knowledge of termite or pest control terminology, equipment, or service procedures.
