Our Fort Wayne, IN Filmore office is seeking a positive, creative and engaging person to work as an Administrative Assistant. Successful applicants will attend paid training to obtain required certifications. This position is Monday thru Friday 8 am - 4:30 pm.

Responsibilities:

  • Perform reception desk duties on a daily basis. Duties include answering multi-line incoming calls, directing calls, faxes, messages, and mail to appropriate personnel, and directing visitors to appropriate staff.
  • Communicate information in a professional and courteous manner to individuals served, staff, and visitors. Refer questionable situations to appropriate personnel and communicate any concerns with supervisor.
  • Unlocking and locking the building prior to and at the close of business hours (8:00 a.m. – 4:00 p.m.) on weekdays, even during inclement weather.
  • Alert personnel and contact 911 in the event of emergencies (actual or drills). Assist staff and clients in exiting the building and take a head count once everyone is outside.
  • Recording staff's absences from the agency and time of return. Informing appropriate supervisors of staff's absences. Maintain visitor log.
  • Maintaining and updating lists of staff and individuals served locations for efficient communication, including phone extension lists and staff/individuals served rosters.
  • Assist with and perform administrative duties as assigned, including but not limited to filing, copying, faxing, shredding, typing, distributing mail, medication distribution, creating/editing/maintaining spreadsheets, charts, presentations, forms, mailing labels, databases and documents. Assist staff with creating and/or formatting documents in Libre Office. Assist management staff as needed with reference calls, alphabetizing, filing, and projects.
  • Maintain inventory, stock, and place office, supply orders.
  • Maintain conference room, conference call lines, and Go To Meeting schedules. Assist in coordinating meetings – including collecting RSVP’s, creating nametags, assembling packets, placing lunch orders, and setting up equipment.
  • Attend meetings to record, type, format, proof, and distribute minutes as needed.
  • Maintain cleanliness of office.
  • Comply with all standards to assure the health and safety of all staff and individuals we serve.
  • Other duties as assigned.

Knowledge and Skills:

  • Knowledge of Libre Office applications , good typing skills, and the ability to take minutes.
  • Ability to multi-task and attention to detail
  • Pleasant speaking voice and manner to deal with public, staff, and individuals served.
  • Ability to work with confidential information in a professional manner

Qualifications:

  • Prior office administration or secretarial experience preferred
  • High School Diploma or Equivalency
