About the Role:

The Medical Receptionist serves as the first point of contact for patients and visitors in a healthcare setting, ensuring a welcoming and efficient experience. This role is critical in managing patient flow, scheduling appointments, and maintaining accurate records to support clinical operations. The Medical Receptionist facilitates clear communication between patients, medical staff, and administrative teams, contributing to the overall quality of care. They handle sensitive patient information with confidentiality and professionalism, adhering to healthcare regulations and privacy standards. Ultimately, this position supports the smooth operation of the medical facility by combining administrative expertise with compassionate patient interaction.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a medical office or healthcare environment preferred.
  • Proficiency with electronic health record (EHR) systems and standard office software.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.

Preferred Qualifications:

  • Familiarity with insurance verification and claims processing.
  • Bilingual abilities, especially in Spanish, to assist a diverse patient population.
  • Knowledge of healthcare regulations such as HIPAA.

Responsibilities:

  • Greet and check in patients upon arrival, verifying personal and insurance information accurately.
  • Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
  • Answer incoming calls, respond to inquiries, and direct calls to appropriate medical personnel.
  • Maintain and update patient records, ensuring compliance with HIPAA and other privacy regulations.
  • Coordinate with medical staff to manage patient flow and communicate any delays or changes promptly.
  • Process patient payments, handle billing inquiries, and assist with insurance verification.
  • Prepare and distribute patient forms, collect necessary documentation, and assist patients with completion.
  • Manage office supplies and ensure the reception area is organized and professional.
