About the Role

We’re looking for a part-time Receptionist to join our small, team-oriented tax firm, offering a consistent weekly schedule and some flexibility. Typical hours are Wednesday 1:00 PM – 5:00 PM and Thursday – Friday 9:00 AM–5:00 PM (with some flexibility as needed). This role is ideal for someone who enjoys variety and being the face of the office. You’ll support day-to-day operations by managing the front desk, organizing tax documents, assisting with e-filing and billing, and preparing client deliverables. You’ll play a key role in keeping the office running smoothly while providing a professional and welcoming experience for clients.

Schedule

  • Wednesday: 1:00 PM – 5:00 PM

  • Thursday – Friday: 9:00 AM – 5:00 PM (some flexibility within reason)

Key Responsibilities

  • Greet clients and manage front desk operations, including answering phones and directing inquiries

  • Scan and organize taxpayer documents into internal systems with a high level of accuracy

  • Electronically file (e-file) tax returns in accordance with firm procedures

  • Prepare, issue, and process client invoices and billing documentation

  • Collect and record payments (cash, checks, and other forms) while maintaining proper documentation

  • Assemble and prepare completed tax returns (both digital and paper copies) for client delivery

  • Coordinate client pickups and ensure timely distribution of returns and related documents

  • Maintain organized records and support administrative tasks across the office as needed

Required Skills & Qualifications:

  • 1+ year of receptionist or administrative experience preferred

  • Strong attention to detail and organizational skills

  • Comfortable with basic billing, payments, and office software

  • Professional communication and client service skills

  • Ability to multitask and maintain confidentiality
