PURPOSE

The Project Assistant I leverages the time of all project team members by providing administrative, basic accounting, and document organization support necessary for successful construction project procurement and execution. This role also involves performing specific corporate duties assigned by authorized personnel and undergoing periodic rotational tasks within the organization.

RESPONSIBILITIES

Project Administration:

  • Creation, organization, maintenance, and distribution of:
    • Weekly progress reports
    • Drawing index
    • Insurance and Workman’s Compensation certificates
    • Safety Policy for project vendors
    • Subcontractor compliance documentation
    • Operation and Maintenance (O&M) manuals
    • As-built drawings
  • Assistance in proposal creation and preparation
  • Meeting notes creation
  • Scheduling project team daily calendar

Project Accounting:

  • Uploading estimates into Viewpoint
  • Assisting in processing invoices
  • Updating forecasting
  • Creating client billings
  • Aged receivable follow-up
  • Generating subcontracts and purchase orders

QUALIFICATIONS & EXPERIENCE

  • High School diploma with accounting emphasis
  • Proficiency in Word, Excel, PowerPoint, Adobe Acrobat, or Bluebeam
  • Desired experience in the construction industry
  • Ability to comprehend and communicate effectively with diverse audiences through various mediums, including written reports, business correspondence, and presentations.
  • Proficiency in numerical calculations, including discounts, percentages, and basic algebraic concepts.
  • Capacity to analyze problems, gather data, and make informed decisions based on factual evidence, while also interpreting technical instructions.
