About the Role

MHOTRS is an OMH regulated outpatient mental health clinic that supports children, adolescents, and adults. The Administrative Assistant is responsible for managing the workflow of the front desk, ensuring that clients feel welcomed and that administrative operations run smoothly to support the clinical team. The individual is required to work in-person from our Far Rockaway locations during hours of operation, which includes evenings and weekends. This position requires a hybrid presence, including at least one day per week stationed at a school satellite site.

What You’ll Do

  • Client engagement and reception via managing the check-in/check-out process of persons supported and the staff.
  • Scheduling and coordinating complex provider schedules, upkeeping centralized scheduling, and handling high-volume phone inquiries.
  • Collect co-payments, verify insurance eligibility, and assist the billing department with resolving administrative discrepancies.
  • Engage in documentation & EHR management by maintaining accurate electronic health records (EHR) and processing new screenings and Intakes.
  • Engage in on-site and remote coordination of School-Based administrative workflows and act as a non-clinical liaison for families and school staff.

 Your Qualifications

  • High School Diploma or equivalent.
  • 1-2 years of medical or behavioral health administrative experience.
  • Detail oriented, front facing and ability to multi-task.
  • Strong de-escalation skills and the ability to work in a setting that may occasionally involve high-stress clinical situations.
  • Bilingual (Spanish) is a plus.
