The HR/Finance Coordinator, Community Corrections performs varied clerical functions and related office duties in the areas of accounting/business office, human resources and payroll administration.  Verifies and ensures accurate payroll records and reporting. 

The incumbent should be able to perform all of the following functions at a pace and level of performance consistent with the job performance requirements.

  • Reviews and enters payroll information into the timekeeping system, including leave authorization forms, missed time punches and special hours within established payroll deadlines. Files and maintains supporting payroll documentation in accordance with payroll procedures.
  • Maintains personnel records, contacts appropriate sources to secure missing information and verifies and forwards employee changes related to promotions, transfers, rates of pay and personal data for processing. 
  • Provides employment information to applicants or employees relative to job openings and application processes. 
  • Assists with pre-employment screening and new hire orientation processes.  Enters and processes information in the Applicant Tracking System (ATS).
  • Provides information to supervisors for consideration of eligible candidates for job openings.  Schedules interviews.  Reviews and processes candidate information in the Applicant Tracking System (ATS).
  • Processes new employee paperwork and prints employee identification badges.
  • Reviews and coordinates with regional HR staff in order to maintain employee flow logs and reports in accordance with compliance requirements.
  • Composes and creates documents to include letters, memoranda, reports, correspondence, forms, and statistical data.  Reads and comprehends correspondence, policies, regulations, procedures, reports, directions for forms completion and other simple or moderately complex documents.
  • Creates and maintains personnel, medical, and general files in an organized manner, to include sorting, labeling, filing and retrieving, in accordance with company and facility file retention and storage procedures.  Maintains confidentiality and security of all records and/or files. 
  • Maintains employee related files in coordination with regional HR staff, including leave of absence and/or AAP files.
  • Utilizes a working knowledge of accounting control procedures for the facility that are in keeping with CoreCivic accounting policies and procedures. 
  • Compiles and sorts documents, such as invoices and checks.  Assists with accounts payable packages, check requests and petty cash requirements.  Takes bank deposits to bank.  Inspects cashier receipt documents. 
  • Maintains p-card log, petty checking checkbook, petty cash box and related receipts.  Copies, compiles and distributes documentation to regional office and others as necessary.
  • Communicates effectively with staff, vendors and visitors; responds to verbal/written inquiries and requests or refers to appropriate staff member.
  • Endeavors to comply with the requirements of applicable regulations, laws, rules, procedures, policies, standards and/or contract.
  • Domestic U.S. travel may be required.

QUALIFICATIONS:

  •  High School diploma, GED certification or equivalent is required. 
  • One year of experience in full-time clerical or administrative office work is required, preferably in human resources administration or bookkeeping/accounting. 
  • Additional qualifying education at an accredited college, business school or technical institute in office administration or a related field may be substituted for the required experience on a year-for-year basis. 
  • Experience in Microsoft Office applications or other similar software applications is required.
  • Minimum age requirement: Must be at least 18 years of age.
