Job Description
Position Overview:
The Event Planning Manager’s primary focus is servicing event and group bookings across all Alexa Properties. This role acts as the liaison between Meeting Planners/clients and hotel colleagues to coordinate event details, manage room blocks and billing instructions, and ensure the smooth on-site execution and post-event reconciliation of assigned events.
Key Responsibilities:
Client partnership and planning
Serve as primary contact for all groups/events through pre-event planning, on-property execution, and post-event follow-up
Conduct and support client meetings and site inspections/tours; maintain strong customer relationships
Event detailing and internal coordination
Administer key components of group/event agreements and translate requirements into clear internal documentation and timelines
Detail food & beverage, meeting space set-up, and A/V needs; coordinate with hotel departments and partners to deliver the event as sold
Manage room blocks, pickup/attrition-related coordination, and operational run-of-show needs aligned to contracted events
Financial accuracy and close-out
Capture billing instructions, support timely approvals, and complete final review/reconciliation processes consistent with hotel standards
Ensuring overall excellent event quality and providing service recovery as needed
Act as on-site contact during event execution: proactively resolving issues, partnering with operations leaders, and protecting the guest/client experience
Qualifications & Experience:
1-3 years in hotel event planning, event sales, catering/events, or comparable experience preferred
Proficient in general computer knowledge
Ability to work a flexible schedule aligned to event business needs (including some evenings/weekends/holidays)
