Job Description

Job Summary: Professional responsible for managing the flow of the office creating processes and systems to enhance clinic operations so employees can perform to their highest ability and patients may experience high satisfaction.  

Job Duties:  

  1. Follow office workflow procedures per office management/admin to ensure maximum efficiency. 
  2. Maintain files and records with effective filing systems 
  3. Manage phone calls and correspondence (e-mail, letters, packages etc.) 
  4. Schedule appointments, update patient demographic and insurance information, collect copays, reconcile cash drawer. 

5.Verify next day appointments. 

  1. Welcome visitors and internal employees with a cheerful disposition 
  2. Monitor office supplies inventory and report order needs to LPN/RN 
  3. Maintain office equipment (aka ensure copiers are operational and fully stocked with toner, paper, etc.) 
  4. Maintain a clean and organized office environment 
  5. Answer calls and process messages per protocol to appropriate staff. 
  6. Deposits, reconciliation of payments made, and daily financial reports per protocol. 
  7. Other duties as assigned by Director associated with clinic specialty 
  8. Performs other duties as assigned by supervision. 

Qualifications:   

  1. Education: High school diploma/GED    
  2. Training and Experience: Certifications as needed/required 
  3. Job Knowledge:    Must demonstrate consistent professional conduct and meticulous attention to detail. Must possess excellent verbal and written communication skills as well as excellent interpersonal skills with patients, staff, and other health care professionals. Familiarity with EMR systems a plus.  

Essentials: 

  1. Must be able to report to work fit for duty and free of any adverse effects of illegal drugs, medical marijuana, prescription medication, and/or alcohol.   
  2. Must be able to effectively communicate both orally and in writing with other individuals.  

Physical Demands:   The individual must be able to bend over to perform certain duties.   Interpretation of environmental input requires visual and auditory skills.  A significant amount of writing and computer entry is required.
