Job Description

JOB SUMMARY:

The Front Desk Receptionist serves as the first point of contact for visitors, vendors, and employees. This role is responsible for managing front desk operations, maintaining security protocols, coordinating guest and vendor access, and supporting administrative and facility-related functions. The ideal candidate is professional, organized, customer-focused, and capable of handling sensitive information with discretion.

KEY RESPONSIBILITIES:

  • Greet and professionally assist all visitors, vendors, and guests.
  • Manage visitor sign-in and check-out procedures in accordance with company security policies.
  • Issue, track, and maintain temporary and vendor badges (check-in/check-out).
  • Maintain awareness of vendor access permissions, including approved floors and departments.
  • Coordinate and confirm guest and vendor arrival times with internal staff.
  • Notify appropriate staff and/or HR immediately upon guest arrival.
  • Serve as liaison with building management regarding badge access and security updates.
  • Validate parking and manage user login access to the parking web application.
  • Receive, log, and secure premium payments until Accounts Receivable retrieves them.
  • Notify staff and departments when packages arrive that are not routed to the mailroom.
  • Maintain accurate logs of visitors, vendors, parking validations, badge assignments, and payments.
  • Support additional administrative duties as assigned.
  • Performs other job-related duties as assigned.

QUALIFICATIONS:

  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office and web-based applications.
  • Ability to handle confidential and sensitive information with discretion.
  • Calm and professional demeanor, especially in emergency situations.
  • Successful completion of a Health Care Sanctions background check.

EDUCATION/EXPERIENCE:

  • High school diploma or equivalent required; associate degree preferred.
  • 1+ years of receptionist or front desk experience in a corporate environment preferred.
