Job Description

Operations Coordinator
Democracy Prep Public Schools strives to ensure all scholars receive the most rigorous education, empowering them with the skills to thrive both in the classroom and beyond. Our Operations Coordinators play a vital role in supporting the operational systems that enable our schools to function smoothly and effectively. This role collaborates closely with school leadership, staff, and families, ensuring that all logistical and operational needs are met in support of scholar achievement.

*The Operations Coordinator role is a fully in-person role, and will be expected to report to work in-person five days per week. This role will support our Bronx Middle and High School Locations.

What You’ll Do:

  • Operational Systems Support: Learn and manage the day-to-day responsibilities of various operational processes to increase knowledge across the team, stepping in as needed to ensure seamless school operations.
  • Technology Support: Serve as a first-responder for technology issues, coordinating with an external technology support organization to resolve challenges and improve systems for staff and scholars.
  • School Culture Support: Foster a positive school environment by supporting behavior management, building relationships with scholars, and engaging positively with the school community.
  • Meal Service Coordination: Oversee school meal service logistics, including scheduling, troubleshooting, and ensuring compliance with safety and nutritional standards.
  • Procurement and Inventory: Manage the procurement, distribution, and organization of school supplies, ensuring availability and proper inventory management.
  • Beautification Projects: Lead efforts to enhance the physical environment of the school, contributing to a welcoming and inspiring space for students and staff.
  • Event and Field Trip Coordination: Assist with the planning and execution of school events and field trips, managing budgets, logistics, and purchase coordination.
  • Family Engagement: Support family enrollment processes, ensuring that new scholars are set up with all necessary technology and resources to succeed.
  • Family Communications: Assist in the implementation of a school-wide communication plan, ensuring messages are accessible to families in their native languages and using data to improve engagement.
  • Attendance and Truancy Prevention: Work proactively with families and staff to support student attendance, ensuring scholars are engaged and maximizing their learning opportunities.
  • Database Maintenance: Ensure the accurate and secure maintenance of internal and external student information databases, tracking essential family and biographical data.
  • Document and Maintain Systems: Ensure all operational systems, protocols, and policies are well-documented and accessible to stakeholders for transparency and ease of use.
  • Additional Operational Support: Assist with other school operations tasks as assigned by the Operations Manager.

Qualifications:

  • Bachelor’s degree or equivalent experience in operations, education, or a related field.
  • Strong organizational and project management skills, with experience managing multiple tasks and deadlines.
  • Excellent verbal and written communication skills, with the ability to engage diverse audiences and stakeholders.
  • Experience working in school or community-based organizations (preferred).
  • Bilingual in Spanish and English (strongly preferred).
  • Knowledge of operational software systems and the ability to troubleshoot basic technology issues.
  • A strong commitment to creating inclusive and equitable school environments.

Compensation

Salary range is $54,000 - $63,000 and commensurate with your experience. Democracy Prep employees are provided with a benefits package that includes medical, vision, and dental insurance, 403B matching, parental leave, a smartphone, and a laptop.
