Description

Receptionist - Jiu Jitsu is responsible for providing essential administrative and clerical support to the Wellness Center. This role involves managing patient and provider inquiries, scheduling appointments, verifying patient information, and collecting and recording data. The Receptionist - Jiu Jitsu also maintains and updates patient records and files, ensuring accurate documentation, and plays a key role in facilitating seamless patient care by supporting the day-to-day operations of the wellness center. The following statements for this position reflect only some specific responsibilities and are considered necessary to describe the principal functions of the job as identified and shall not be considered a detailed description of all duties required that may be inherent in the position:

  • Greet students, patients, and visitors warmly and professionally
  • Clean and reset lobby, restrooms, cycling studio, and common areas before and after classes
  • Support opening and closing procedures and daily operational tasks
  • Maintain a consistently clean, organized, and premium studio appearance
  • Answer phone calls, respond to emails, and manage appointment scheduling for the Jiu Jitsu studio
  • Check in and check out students/patients efficiently
  • Process payments, manage transactions, and maintain accurate financial records in accordance with clinic policies
  • Ensure proper forms are completed for all participants
  • Maintain accurate records of attendance and patient/student information
  • Assist with filing, data entry, and documentation as required by clinic staff or instructors
  • Coordinate schedules for classes, private sessions, and medical appointments
  • Provide clear information about services and programs
  • Participate in local events and community outreach
  • Address questions, concerns, or complaints in a professional and empathetic manner
  • Foster a welcoming, safe, and positive environment for all visitors
  • Ensure clinic and studio areas are clean, organized, and meet hygiene standards
  • Be familiar with basic emergency procedures and protocols for both the studio and clinic
  • Be adaptable to a dynamic environment balancing fitness and healthcare services
  • Demonstrate discretion and confidentiality with sensitive medical or personal information
  • Work collaboratively with instructors, medical staff, and administrative team members
  • Perform other related tasks as required to support organizational goals
  • Adhere to HIPAA regulations and other relevant laws to protect patient privacy and confidentiality in all communications
  • Ability to stand and remain active for extended periods of time while performing front desk and facility duties
  • Perform other duties as assigned by executive leadership and administration

Requirements

  • High school diploma required or equivalent
  • Previous receptionist, administrative, or customer service experience preferred
  • Excellent verbal and written communication skills
  • Proficient with scheduling software, phone systems, and basic computer applications
  • Interest in martial arts or fitness is a plus but not required
  • Electronic Medical Record system experience (ECW preferred)
  • Experience working with patient registration procedures
  • Basic knowledge of medical terminology preferred 
  • High level of skill in maintaining calm, professional, courteous and helpful demeanor in times of pressure and stress
  • Skill in making appropriate decisions to benefit patients and meet company objectives
  • Ability to prioritize work and complete it on a timely basis with minimal supervision
  • Ability to follow procedures
  • Displays sensitivity in a multicultural environment
