The Opportunity
The Health Information Management (HIM) Specialist plays an essential role in supporting high-quality patient care at COPA. This position is responsible for maintaining accurate, complete, and timely health records while ensuring information is organized, secure, and readily available when needed. The HIM Specialist works closely with providers and care teams to support smooth clinical operations, retrieve and manage key documentation, and safeguard patient privacy. This role is well suited for someone who values precision, enjoys problem-solving, and wants to contribute meaningfully to the care of children and families.
The Job
• Ensure compliance with regulatory and agency requirements related to medical data.
• Maintain strict standards of data integrity, confidentiality, and security.
• Manage and protect patient health information, including clinical records, labs, and imaging.
• Accurately capture, store, retrieve, and maintain electronic health information to support care teams and ensure complete, accessible records.
The Schedule
Full-Time, Hourly
Saturday-Sunday: 7:30am - 4pm
Monday-Wednesday: 9:30am-6pm
Shift differential pay applies on weekends
Requirements
Education and Certification
• HIM or RHIT Certification desired.
Experience
• Medical Terminology: Preferred
• Experience with secure document transmission, retrieval, maintenance, and HIM
• Excellent computer skills using Excel, Word, Email, Outlook, and other office software.
• Excellent communication and interpersonal skills.
• Ability to multi-task in a fast-paced environment.
• Customer Service Experience minimum 1 year.
• Office Experience minimum 1 year.
• Electronic Health Records: Epic experience preferred.
• Adhere to HIPAA and PHI compliance.
Physical Requirements
• Use of clear and audible speaking voice and the ability to hear normal speech level in person, over the telephone or through use of other required technology.
• Sitting or standing for long periods of time. Frequent repetitive motion includes computer keyboard use, reaching with hands and arms, and walking.
• Occasional lifting and or moving up to 30 pounds and on rare occasions up to 50 pounds.
• Specific vision abilities required include viewing computer monitor for long periods of time, close vision, distance vision, color vision, peripheral vision, and depth perception.
• Must be able to wear appropriate personal protective equipment (PPE) as required.
Working Conditions
• Standard medical office; may be eligible for combination of on site and home office.
• Work inside in a general medical office setting with ergonomically configured equipment.
• The employee is subject to hazards including a variety of physical conditions such as proximity to mechanical parts and chemicals including odors.
• Travel between COPA clinics, business office and community partners as required.
