The Medical Services Coordinator supports physicians, APRNs, and other staff within the medical service line by providing consistent, accurate, and timely assistance that enhances the organization’s ability to deliver professional services. Responsibilities include the accurate, timely, and well-documented verification of applicant information, as well as the maintenance of highly confidential credentialing files. The Coordinator also provides administrative and financial support, including billing and reimbursement activities, and works closely with the Medical Practice Manager to support the medical service line. The Coordinator serves as a collaborative team member who promotes a culture of inclusion and participation.

Required Education and Experience

  • High School Diploma
  • Minimum of one year experience in a healthcare setting
  • Valid driver’s license, reliable operating transportation, and proof of current auto insurance

Preferred Education and Experience

  • Associate’s or Bachelor's degree in health administration or related field
  • Knowledge of medical provider criteria and processes in accordance with NCQA, Joint Commission standards, NPDB guidelines and general licensing regulations
  • Experience working in an environment utilizing telemedicine
  • Experience working with 10 or more medical providers

Essential Functions

  • Work collaboratively with the medical service line and New Vista administration
  • Serve as a liaison between medical staff, anchor sites, and satellite offices, and actively collaborate with local offices to optimize medical provider schedules
  • Provide administrative support and coordinate the duties of the medical staff, oversee monitoring, management, and scheduling for medical staff in Psychiatry and Primary Care
  • Collaborate with participating university partners in coordinating residents and other student intern placements and/or rotations with the medical service line. Work with Chief Medical Officer on duties required for maintaining UK Psychiatry Resident program including coordination of scheduling, EHR training, Electronic Controlled Prescribing, etc.
  • Maintain a working knowledge of Medical Practice policies and guidelines, along with applicable New Vista organizational policies, to ensure compliance with required parameters by medical staff
  • Attend the Medical Practice Committee meetings as requested, which include committee notification, drafting agendas, taking and drafting minutes, and follow-ups as assigned
  • PTO and Schedule Management - working with Chief Medical Officer, Medical Practice Manager, and Nurse Team Lead to verify coverage for all office and medical staff
  • Oversee front office operations to ensure productive workflow and scheduling
  • Oversee front office collections, ensure staff follow billing policies and procedures, and monitor insurance compliance
  • As requested, attend interviews for the medical service line and assist with local orientation including, but not limited to, EHR subscriptions for Medical Note, Electronic Controlled Prescribing, and additional EHR training based on role
  • Coordinate the medical provider on-call schedule in collaboration with the Medical Practice Manager
  • Assist Chief Medical Officer, Medical Practice Manager, and Nurse Team Lead as needed with workflow of medical staff at ACT/BHUC/MAR/Schwartz
  • Ensure/monitor timely submission of documentation and billing, i.e., Medical Notes, Billing Notes, Staff Notes, etc. (monitor note completion)
  • Ensure the accuracy of documentation and billing, and communicate any required corrections to the Finance Department, including reviewing clinical notes, running data monitoring reports, monitoring CEFE accuracy, and addressing state data corrections. Prepare and distribute monthly client statements
  • Oversee facility needs and submit maintenance requests as necessary
  • Oversee and act as liaison with Information Technology Department in troubleshooting and solution development
