JOB SUMMARY
As our Billing and Data Associate, you'll be the backbone of our billing operations! You'll use tools like QuickBooks and ServiceTitan to enter data, maintain records, and generate invoices — all while pitching in on general office tasks and keeping our customers well taken care of.
WHAT YOU'LL DO
1. Maintain and update records in QuickBooks and our database, and generate invoices for completed work.
2. Handle general office duties including word processing, copying, scanning, filing, answering phones, and other communications.
3. Review all service reports for accuracy before invoicing.
4. Enter reports accurately into web apps and other software.
5. Process and document customer payments, including checks and credit cards.
6. Stay current on updates to our billing procedures.
7. Send invoices according to each customer's preferences.
8. Jump in wherever you're needed to support the team!
WHAT YOU BRING
1. Experience with computer data entry and the ability to type at least 45 WPM.
2. Ability to operate a 10-key calculator by touch.
3. Familiarity with data management software and basic accounting — or the drive to learn quickly!
4. A sharp eye for detail, even in a fast-paced environment, and the ability to follow directions accurately.
5. Strong customer service skills — professional, friendly, and courteous every time.
6. Flexibility and the ability to adapt when priorities shift.
7. Self-motivation and the ability to juggle multiple tasks at once.
8. Knowledge of plumbing or construction terminology is a plus!
9. Must pass an FBI / California DOJ fingerprint background check upon hire, with continued employment depending on a clear result.
EDUCATION & EXPERIENCE
1. High school diploma or equivalent required.
2. Intermediate to advanced skills in QuickBooks, web apps, Word, Excel, and email.
3. One year of accounts receivable experience preferred — though related experience as an office, admin, or retail associate may substitute.
4. English fluency required. Bilingual in Spanish is a huge plus!
