Job DetailsJob Location: All Locations - Los Angeles, CA 90064Position Type: Full TimeSalary Range: $15.00 - $25.00 HourlyThe Special Education Clerk provides essential clerical, data, and compliance support to special education programs across one or more school sites within the CWC LA network. This role supports the coordination and accuracy of special education processes, helping ensure students receive services in alignment with state and federal requirements.
This position is well-suited for individuals who are detail-oriented, collaborative, and eager to learn. Whether you are new to special education or bring prior experience with IEP processes and compliance, this role offers an opportunity to build experience while contributing to a student-centered and inclusive environment.
The Special Education Clerk collaborates closely with CWC school site teams and the Special Education team to maintain accurate records, coordinate IEP meetings, and support compliance efforts that directly impact students and families.
Key Responsibilities:
Special Education Compliance & Documentation
Maintain accurate and confidential special education student records, including IEPs, assessment plans, meeting notices, and related documentation
Upload, file, and organize documents in the special education management system (e.g., Welligent, SEIS, or similar) and student information system
Track and monitor IEP, assessment, and reevaluation timelines, escalating upcoming deadlines to appropriate staff
Prepare and distribute legally required notices and documents, with training and support provided as needed
IEP Meeting Coordination
Schedule and coordinate IEP meetings for assigned school sites, including calendars, parent notifications, interpreters, and meeting logistics
Maintain IEP calendars and trackers to support compliance and planning
Prepare IEP packets and ensure all required documentation is ready in advance of meetings
Data Entry, Reporting & Quality Control
Enter and review special education data for accuracy, completeness, and alignment across systems
Maintain trackers related to caseloads, IEP meetings, assessments, and service delivery
Support documentation requests for audits, monitoring, and reporting, in coordination with the central Special Education team
Family & Staff Communication
Serve as a point of contact for families regarding IEP scheduling, documentation, and general procedural questions
Communicate regularly with teachers, service providers, school administrators, and central office staff
Support families with form completion and records requests, as appropriate
General Clerical & Program Support
Clerical support including copying, scanning, mailing, and file management
Organize and maintain special education materials and resources
Assist with organization and tracking of special education materials and resources
Support with compliance related paperwork related to general SPED compliance, oversight, and reimbursement
Take on additional responsibilities over time based on experience, training, and program needs

QualificationsRequired:
High school diploma or equivalent
Strong organizational skills and attention to detail
Manage confidential information with professionalism and discretion
Basic proficiency with email, word processing, and spreadsheets
Willingness to learn special education processes, timelines, and systems
Strong follow-through and ability to independently manage tasks
Preferred (Not Required)
Prior clerical or administrative experience in a school or office setting
Experience supporting special education programs, IEP processes, or compliance
Familiarity with SEIS, Welligent, Aeries, or similar systems
Bilingual Spanish and English
