Position Title:  Community Assistance Center Intake and Data Specialist
FLSA Status: Non-Exempt, Full-Time 40 hours per week
Date: April 13, 2026


JOB SUMMARY: This is a full-time position providing financial aid intake services and data administrative support at the Community Assistance Center. The Intake and Data Specialist will ensure that all required financial assistance applications are received and processed promptly. This person will be responsible for answering incoming calls, emails, and servicing walk-in clients, in addition to performing clerical work such as filing, faxing, and conducting periodic
audits of emergency assistance documentation.

ESSENTIAL QUALIFICATIONS:
• Required high school diploma with at least two years of work-related experience
• Bachelor’s degree in the human/social service field with at least one-year work-related experience   preferred
• Demonstrated excellent customer service skills
• Effective verbal and written communication skills
• Working Knowledge of Microsoft Office programs, MSWord, Excel, Teams, and Access with an ability to learn additional software or other database as appropriate
• Excellent organizational skills with strong attention to detail
• Ability to work independently and as part of a team
• Ability to work in a fast-paced environment
• Valid Hawaii Driver’s License

DUTIES:
1. Screen financial aid applicants via phone, email, or in-person.
2. Answer phone and email inquiries in a timely manner.
3. Provide program information and schedule intake appointments at the Community Assistance Center, neighboring corps, and partner agency locations.
4. Enter new inquiry and client information in electronic data systems with accuracy.
5. Determine eligibility for assistance based on the client’s application and supporting documents
6. Refer ineligible applicants to other, more appropriate community agencies and institutions.
7. Coordinate and execute off-site outreach events.
8. Develop and maintain a strong working knowledge of contracts that support the Community Assistance Center’s operation.
9. Assist in developing, updating, and implementing policies & procedures to assure compliance with contract standards.
10. Review individual client files and evaluate paperwork to ensure adherence to the funder contracts and reporting requirements.
11. Collect, maintain, and provide data for monthly statistical reports.
12. Reconcile fund distribution on a weekly basis using divisional tools and internal reports.
13. Implement ongoing client satisfaction surveys to help identify areas of improvement.
14. Work with a team-oriented approach to meet the needs of clients, ensuring excellence in overall service delivery.
15. Provide support and direction to volunteers.
16. Assist with special projects.
17. Attend department meetings as assigned.
18. Perform other duties as assigned.
