Job Purpose & Scope

Provides direct Trust and Wealth client service as well as administrative support to Fiduciary Officers. 


Essential Job Functions

  1. Provides support for assigned senior officer(s) for day-to-day administration of fiduciary accounts including, but not limited to:

  1. opening and closing accounts; 

  2. cash disbursements and distributions, including bill payments;

  3. preparation of correspondence, as requested; 

  4. preparation of discretionary request documentation for trust committees; 

  5. processing internal transactions and postings;

  6. support during tax season, including tax return review and processing; and

  7. review of statements for form and/or content issues. 

  1. Interacts with Operations, Middle Office, Compliance, IT and other Trust and Wealth partners as necessary to ensure execution of daily tasks according to established policy and procedures. 

  2. Provides ongoing support to prepare, coordinate, deliver, and collect necessary account and client documentation in accordance with regulatory and internal compliance procedures. 

  3. Engages with clients, internal partners, and Trust and Wealth teammates to perform research, as needed, to answer questions, problem-solve, and provide information to tax and legal partners.

  4. Provides ongoing support of Trust and Wealth tax reporting requirements including tracking and account maintenance and interaction with third party fiduciary tax preparation services.

  5. Performs tasks related to annual fiduciary income and other tax filing and reporting activities.

  6. Provides support for Trust and Wealth team business development efforts including preparation of presentation materials, conference coordination and attendance, scheduling, and pipeline tracking.

  7. Serves as the first point of contact for client requests. 

  8. Coordinates internal meetings and conference calls with internal and line of business partners.

  9. Maintains good punctuality and attendance to work.

  10. Follows Bank policy, procedures, and guidelines.


Knowledge, Skills & Abilities

  1. Knowledge of general banking and/or wealth or fiduciary management concepts.

  2. Knowledge of basic fiduciary law.

  3. Knowledge of or willingness to learn trust accounting programs and software, preferably TrustDesk (FIS based application).

  4. Ability to communicate effectively both verbally and in writing.

  5. Ability to demonstrate effective time management and organizational skills.

  6. Ability to demonstrate initiative to accomplish work objectives.

  7. Ability to function effectively in a growing and changing environment.

  8. Ability to demonstrate accuracy, thoroughness, critical thinking, and attention to detail.

  9. Ability to maintain confidentiality of client and account information.

  10. Ability to work without close supervision.

  11. Skill in using computer and Microsoft Office, including Excel, PowerPoint, Word, and Outlook.


Basic Qualifications

  1. Associate’s  degree or commensurate work experience, required.
  2. 1+ year of work experience in a related paralegal role or in an administrative role in a professional financial services or brokerage services environment, required.
  3. This position may require access to certain confidential information and areas of the Bank. Successful completion of a post-offer enhanced criminal background screening including fingerprinting is required.
  4. Prior experience in financial planning, preferred.
  5. Prior experience using Smartsheet technology, preferred.
