Position Summary:

Provides administrative support for the program, team members, and program participants. This includes general administrative duties, receptionist work, Workforce Development (WFD) member services support, data entry into multiple databases, and other project-based assignments. Must demonstrate professionalism through in-person and telephone interaction.

Essential Duties and Responsibilities:

· Meet and greet all Career Center clients and visitors.

· Answer telephones, answer routine inquiries, and refer individuals to appropriate GWH Programs when needed.

· Perform accurate data entry and record keeping related to different WFD programs while maintaining a high level of confidentiality.

· Actively promote GWH programs to create awareness and demonstrate the potential it has for career and life advancement.

· Performs clerical duties such as photocopying, faxing, filing, mailing, scheduling, ordering, and maintaining office supplies.

· team members at all levels of the organization

· Assists with routine follow-up phone calls and emails in support of program retention data.

· Assistance with retention follow-up may be necessary and as directed by program staff, coordinator, and the manager.

· Organizes, prepares materials and facilitates weekly orientations, intake, and assessment processes.

· Participates in staff meetings, maintains appropriate agency documentation of the meetings, and contributes to team efforts by assisting team members to accomplish results as needed.

· Refer participants to community partners for social aid.

· Participate and represent GWH at community-based events and activities.

· May be required to attend and support job training.

· Ensures the equipment for Connect Centers is operating by completing preventative maintenance and submitting repair requests when needed.

· Maintain equipment inventories.

· Other duties as assigned by Management.

· Must be punctual and have dependable attendance and maintain an appropriate appearance.

· Must conduct work in a safe manner; maintain good housekeeping standards, have all aisles and pathways to fire exists clear and free from clutter, and keep work areas neat and clean.

· Adheres to local, state and federal laws and regulations.

Minimum Qualifications:

· High school diploma or equivalent is required.

· One (1) to three (3) years of client services, administrative assistant, or equivalent experience is preferred.

· Excellent computer skills (proficient in Microsoft Office).

· Good written and verbal communication skills.

· Bilingual is preferred.

· Ability to work weekends as needed.

· Ability to communicate and interact well with a variety of personality types. Must have reliable transportation.

Key Performance Indicators:

1. Meet data entry deadlines in HMIS and Caseworthy systems.

2. Support program goals.

3. Provide referrals for co-enrollment to other GWH programs.

4. Maintain the tracker for referrals to assess eligibility and follow-up.

5. Execute WFD projects as assigned.

Physical Requirements/Work Environment:

· Ability to sit, stand, bend, and reach.

· Ability to lift, push, and pull up to 25 lbs.

· Able to spend most working hours at a computer.
