Job Summary:

This position supports our Cardiac Surgery Clinic at the Florence Wormald Heart and Vascular Institute.

Provides clinical and administrative support to our surgeons and advanced practice providers. This is a highly visible position that is always responsible for creating a positive impression with patients, family members, and other visitors to the office.

Job Description:

Clinical

  • Prepares patient for exam and acquires vital signs, weight, general history, and current medication list.
  • Provides patient care and clinical support to provider during exam, including EKGs.
  • Documents medications, vital signs, weight, and testing results.
  • Collects and provides to the provider the diagnostic Imaging, or test results as they are available.
  • Provides instruction to patients under the direction of the provider.
  • Maintains adequate level of supplies in exam rooms and workstation.
  • Cleans and disinfects exam rooms.

Administrative

  • Schedule procedures, surgery, tests, therapy, referrals, appointments, and services (such as dental clearance, cardiac rehab).
  • Responsible for cancelling and rescheduling patients when necessary.
  • Communicate schedule updates, i.e., cancellations, changes, and delays to appropriate staff/patients/family members/visitors.
  • Obtaining pre-certification and/consent for services and billing.
  • Monitor and follow-up on pre-authorizations.
  • Support surgeons with calendar management, scheduling meetings, CME allowances, hospital dues, society memberships, and conference attendance. 

Communication / Customer Service

Provide courteous, respectful, and helpful service to patients, visitors, staff, and physicians seeking information and/or treatment (office, phone, email

communications, My Chart, etc.) Resolve routine patient problems and complaints on a timely basis.  Handles conflict with customers constructively and appropriately.  Initiate further follow-up with appropriate staff member(s). Duties include:

  • Answering telephones. 
  • Assisting patients with questions and problems. 
  • Accepting messages for physicians. 
  • Calling prescriptions to pharmacies.

Revenue Cycle

  • Ensure accurate data entry of patient information to support billing.
  • Support CBO with coding operative procedures
  • As needed, assist the front desk; may collect co-pay/co-insurance/deductible based on insurance plan(s).

Ensures compliance with federal, state, and local laws and regulations pertaining to patient privacy and confidentiality, i.e., HIPPA laws, Joint Commission.

Performs other duties as assigned.

Education, Credentials, Licenses:

High school graduate or GED. 

Graduate of accredited medical assisting school.

Successfully completed registration/certification exam.

Specialized Knowledge: 

Ability to support providers with dictation/transcription tools (i.e., Dragon). 

Familiarity with medical terminology.

Kind and Length of Experience: 

One-year experience in medical setting including medical assisting.
