Position Overview
The Office Operations & Experience Coordinator plays a key role in supporting the efficiency, organization, and professionalism of daily operations across the JECDB. This position provides coordinated administrative and operational support to all staff, programs, and initiatives, while also shaping a welcoming and highly functional office environment for partners, stakeholders, and the public.
This role serves as a shared administrative and operational resource across the organization, providing coordinated support for economic development, workforce initiatives, marketing efforts, and community development activities.
Key Responsibilities
🔹 Office Operations & Coordination
  • Provide general support across team functions to ensure smooth day-to-day operations
  • Maintain organized systems for files, records, and shared documents
  • Assist in supporting internal processes to improve efficiency, consistency, and communication across the team
  • Assist with tracking projects, deadlines, and deliverables as needed

🔹 Administrative Support (Office-Wide)
  • Provide administrative support to leadership and staff across all functions
  • Prepare correspondence, reports, presentations, and meeting materials
  • Assist with data entry, database updates, and document management
  • Support special projects and initiatives as assigned

🔹 Front Office & Stakeholder Support
  • Serve as the first point of contact for visitors, partners, and inquiries
  • Create a professional, welcoming, and responsive office environment
  • Route inquiries appropriately and ensure timely follow-up
  • Represent the organization with professionalism in all interactions

🔹 Meetings & Events Coordination
  • Coordinate logistics for meetings, board activities, and events
  • Manage calendars, meeting schedules, and room setup
  • Prepare agendas, materials, and assist with meeting follow-up
  • Support event execution for workforce and economic development initiatives

🔹 Office Management & Logistics
  • Manage office supplies, equipment, and vendor coordination
  • Oversee mail distribution and outgoing communications
  • Coordinate maintenance and service needs for office equipment
  • Maintain an organized and functional workspace environment

🔹 Communication & Collaboration
  • Work closely with all team members to support organizational priorities
  • Help ensure consistent communication and information flow across departments
  • Assist in maintaining internal documentation and process clarity

Qualifications
  • High school diploma or GED required; associate degree or higher preferred
  • 1 year of experience in administrative support, office coordination, or a related field preferred
  • Strong organizational, communication, and multitasking skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to work independently while supporting a collaborative team environment
  • Professional demeanor with strong customer service and interpersonal skills
  • Demonstrated ability to maintain flexibility, adapt to changing priorities, and respond proactively to time-sensitive organizational needs.

Work Environment & Physical Requirements
This position operates in a professional office environment with standard equipment. Work is primarily sedentary with occasional lifting of light materials (up to 10 lbs.).
Expected Salary Range: $35,000 - $40,000 annually commensurate with qualifications and experience. Competitive comprehensive benefits package included.

Wilson County Government

Wilson County is located in the heart of Middle Tennessee. Wilson County was established by an act of the Third General Assembly of the State of Tennessee on October 26, 1799, three years after the organization of the state itself and consists of 583.27 square miles. The county was named in honor of Major David Wilson, a native of Pennsylvania, who came to Sumner County while it was yet a part of North Carolina. He was the first Speaker of the Territorial Assembly. The 2010 Census by the U.S. Census Bureau gives Wilson County a total population of 113,993 broken down by the following: Lebanon - 26,190, Mt. Juliet - 23,671, and Watertown - 1,477, with the remaining living in the county, outside of city limits.
