Job Description

This is a responsible nonsupervisory position. This position provides primary front desk coverage and reception/switchboard duties, greets visitors, assisting them or directing them to the appropriate individual(s)/program. Proctors and provides administrative support for exams as needed. Updates the AACOG website and Public Safety calendar, ensuring that advisory committee meetings, workshops, minutes, and important information is uploaded and published on the AACOG website platform. Provides reception/switchboard duties, receives incoming telephone calls, determines nature of calls, and transfers to appropriate individual(s) if needed and/or provides information to the customer. Greets visitors, assisting them or directing them to the appropriate individual(s)/program. Maintains an inventory office and project supplies for all programs. Creates and distributes weekly training and event schedules to adjunct instructors and staff. 

Essential Functions: Maintains rosters and transcribes meeting minutes for advisory committees. Assists with gathering registration forms, course evaluations, completing certificates, scanning documents, and reporting of classes. Prepares materials for meetings, workshops and mail outs, including making copies of class and grant materials; bind books for classes. Handles incoming e-mails to register customers for in-service training classes and testing. Maintaining AACOG calendar with important dates, including committee meetings, classes, and other events. Performs other duties as assigned. Performs other duties as assigned.

Desired Education/Job Experience: High School Diploma or equivalent. Some College Preferred. 1 year of experience in an administrative assistant field; OR Any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

This position is a Pay Grade 6, with a starting hourly rate of $16.76. This is a non-exempt position. Open until Filled. Only electronic online applications will be accepted.

Alamo Area Council of Governments

Defined as a political subdivision of the State of Texas, AACOG was established in 1967 under Chapter 391 of the Local Government Code as a voluntary association of local governments and organizations that serves its members through planning, information, and coordination activities. AACOG serves the Alamo Area/State Planning Region 18, which covers 13 counties and 12,582 square miles. Comprising the area planning region are Atascosa, Bandera, Bexar, Comal, Frio, Gillespie, Guadalupe, Karnes, Kendall, Kerr, McMullen, Medina, and Wilson counties. AACOG provides general technical assistance to member governments in their planning functions, preparation of applications, and the administration of area-wide programs. In addition, program specific technical assistance for regional planning in the areas of aging services, economic development, 9-1-1 systems, homeland security, criminal justice, resource recovery, air quality, transportation, weatherization, and workforce is also offered. We also administer the Alamo Local Authority for Intellectual and Developmental Disabilities. In addition, AACOG sponsors special projects in response to local government needs or requests. Support for these activities is provided through local dues, state appropriations, state and federal grants that are matched by local monies, and other public and private funds.
