Description

POSITION: Admissions Coordinator
ENTITY: Clean Recovery Centers
RESPONSIBLE TO: Director of Admissions
SUPERVISED BY: Director of Admissions
POSITION/INDIVIDUALS SUPERVISED: None
INTERRELATIONSHIPS: Maintains open communication lines between potential admissions and facility staff members. Initiates and maintains contact with prospective clients, family members and significant others, and referral sources; as assigned by supervisor.
STATUS: Exempt
POSITION PURPOSE: The Admission Coordinator is responsible for answering and responding to inquiry/intake calls, client screenings, admissions, and admission approval by appropriate staff to include CEO, supervisor, medical or clinical. This position is also responsible for with the admissions and facility staff to assure exceptional client and community satisfaction, and in developing and achieving community education and awareness goals.


WORKPLACE ENVIRONMENT

1. ENVIRONMENTAL CONDITIONS:

  • Hours of work are structured in an eight (8) hour block but may be subject to irregular hours based on the facility’s needs and on call schedule.
  • Employee is required to be able to drive.
  • Position requires work in a temperature-controlled environment 80-90% of the time spent indoors or in an air-conditioned environment.
  • Potential exposure to violent situations.
  • Potential exposure to airborne/blood borne pathogens or other potentially infectious materials.

4. JOB CATEGORY STANDARD PRECAUTIONS: Category II- Routine tasks involve no exposure to blood, body fluids, or tissues, but employment may require performing unplanned Category I task.

SPECIFIC AREAS OF RESPONSIBILITY TO POSITION
1.    Answers inquiry calls efficiently and courteously within three rings.
2.    Answers any questions callers may have that are of a non-clinical nature; appropriately transfers calls if clinical issues arise.
3.    Appropriately completes inquiry call forms. 
4.    Coordinates and schedules prospective client screenings.
5.    Coordinates and processes all admissions to the facility.
6.    Seeks medical approval for prospective clients that report a medical condition, seeks clinical approval for prospective clients that report a psychiatric condition. 
7.    Responsible for obtaining demographic and financial information during inquiry calls.
8.    Forwards financial coverage information to billing department; verifying insurance information, as necessary. 
9.    Maintains the Inquiry Call Board and follows up accordingly. 
10.    Responsible for mailing program literature when requested.
11.    Ensures the clinical and financial screening criteria have been met prior to admission. 
12.    Obtains necessary consents, identifications and financial documents needed to admit client into the program. 
13.    Provides community awareness education and in-services on behalf of facility as assigned.
14.    Complies with facility policies and procedures.
15.    Participates in all staff meetings; responsible for obtaining information if not in attendance. 
16.    Approaches clients/family members, significant others, and visitors with a respectful caring manner to convey a sense of concern and warmth.
17.    Maintains confidentiality of client information and records; and of facility proprietary, privileged, and/or confidential information.
18.    Daily CRM follow up on prospective clients.
19.    Communicates and problem solves via the chain of command.
20.    Delivers care in a non-judgmental and non-discriminatory manner, sensitive to client and staff diversity.
21.    Seeks corrective criticism and the ability to evaluate suggestions objectively. 
22.    Report to work as assigned.
23.    Completes daily tasks as assigned and documents the delivery of all client services.
24.    Maintains acceptable overall attendance.
25.    Promotes a favorable/positive work atmosphere.
26.    Attends in-services and educational training as necessary and as assigned.
27.    Maintains updated competencies required to perform client assessments
28.    Seeks out learning experiences and incorporates new knowledge into practice.
29.    Maintains flexibility and adaptability to expected and unexpected changes in the work environment.
30.    Reports personal symptoms of suspected illness or contagious diseases to the Infection Control designee.
31.    Maintains safety of the physical environment.
31.    Performs all other tasks as assigned and being on call.

Qualifications


POSITION REQUIREMENTS/QUALIFICATIONS

1. EDUCATION: Experience in the field of substance abuse, knowledge of 12 steps or customer service.  Must be computer literate.  No education required, on the job training is offered.

2. EXPERIENCE: A minimum of 1 year experience in substance abuse preferred, but not required.

3. LICENSURE/CERTIFICATION: None

4. SKILLS /ABILITIES/COMPETENCIES:

  • Customer Service
  • Knowledge of the Principles and Practices of the Substance Abuse Industry
  • Adheres to the facility ethics code.
  • Knowledge of DCF guidelines.
  • Knowledge of Joint Commission Standards relating to assessments and competencies.
  • Competency will include:
  • Suicide/Homicide assessment
  • Trauma – Abuse – Neglect
  • Mental Status assessment
  • Vital signs
  • UA testing
  • Evaluation for symptoms/risks of needing Detox – seizure risk
  • Experience with CRM Software
  • Demonstrates Proficiency in Communication & Written skills.
  • Knowledge of State & Federal Statutes Regarding Client Confidentiality laws.
  • Knowledge of Drug-Free Workplace
  • Knowledge of Workplace Violence Prevention
  • Knowledge of Corporate Integrity & Compliance
