Essential Job Functions

Maintenance Inventory Management

  • Maintain accurate and up-to-date asset and parts inventory databases.
  • Set and maintain the organization of part storage. 
  • Order components for the maintenance department.
  • May move or transport materials from one department to another, manually or using material handling equipment.
  • Manage the complete purchase order cycle, from purchase request to invoice validation and purchase order closing.
  • Enter and update preventive maintenance schedules, work orders, and equipment records in MaintainX.
  • Review and close completed work orders, ensuring documentation is complete and accurate.
  • Monitor system compliance by users, providing reminders or follow-ups as needed.
  • Generate and distribute reports on KPIs (downtime, PM completion rates, response times, etc.).
  • Train and support team members on proper system use and updates.
  • Partner with maintenance and operations leaders to ensure system data reflects actual plant operations.
  • Identify opportunities to improve workflows and system utilization.
  • Compile and maintain manual or computerized records, such as material inventory, in-process PM reports, and status and location of parts.

  • Coordinate the entry of new and existing outside contractors into Gensuite Safety Management software
  • Obtain necessary documentation from contractors to ensure compliance with KIK certified contractor requirements.

Qualifications

  • Strong computer and data entry skills; proficiency in MS Excel/Google Sheets required.
  • Excellent attention to detail and organizational skills.
  • Ability to communicate effectively with both maintenance technicians and leadership.
  • Strong problem-solving mindset with a focus on continuous improvement.
  • Previous experience with CMMS software MaintainX or other maintenance management system preferred.
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Experience with lean visual management and/or part storage management preferred. 
  • Experience with contractor management preferred.
  • Working knowledge of procurement systems (E1) is an asset.
  • Able to lift 50lbs, climb stairs and ladders.
